What is a Workspace?
A Workspace in the Cemantica Journey Management platform serves as a dedicated environment where you can organize and manage your customer Journeys, Personas, Opportunities, Solutions and other related assets.
Each Workspace can be tailored to specific projects, teams, business lines, or countries in a large organization, allowing you to define access permissions and customize libraries, lists of values plus various parameters to suit your unique needs.
Who can manage Workspaces in Cemantica?
💡Only users with Company Admin roles can create Workspaces.
We recommend nominating a Workspace Owner to serve as the Workspace admin. The admin will oversee and maintain the Workspace's settings and configurations and the owner can invite users or teams to their Workspaces.
The Workspace Owners can personalize these Workspaces according to their needs and preferences, making it easy to organize and collaborate on Projects.
Additionally, Workspaces can be shared with colleagues, enabling seamless collaboration and knowledge sharing within teams.
It’s important to note that Company Admins have visibility into all Workspaces, providing centralized oversight.
💡 Important: Please note that deleting a Workspace will delete all its contents (Personas, Journey Maps, etc.) and Configurations (Libraries and Customization).
Guidelines for managing the Workspace
When managing Workspaces, you have the flexibility to tailor various settings and configurations to suit your specific needs. This allows for a highly organized and efficient environment tailored to different projects, teams, or departments.
Some key points to consider are:
Customization and Configuration:
Each workspace enables you to manage records and permissions independently. You can customize and configure aspects such as:Libraries such as Touchpoints and Measurements
Priorities, Statuses and Insight types
Templates and Integrations tailored specifically to the Workspace’s requirements
Any changes or configurations made within a Workspace are unique to that Workspace and do not affect other Workspaces within the Cemantica platform. This ensures that each environment remains specialized and relevant to its specific context.
Workspace Administration:
To ensure effective management, it’s advisable to appoint a Workspace Owner who acts as the Workspace Admin. This person will oversee and maintain settings, manage user access and update configurations; facilitating smooth operations.Reporting and Analytics:
Reports and analytics are based solely on the data within each Workspace, providing focused insights tailored to specific projects or teams.Data Sharing and Transfer:
Users can copy records between Workspaces. Additionally, Workspace Owners have the ability to duplicate Libraries or Library values from one Workspace to another, supporting efficient reuse of resources.
By leveraging these functionalities, you can optimize Workspace organization and efficiency, while empowering designated individuals to manage each Workspace's specific details effectively.
How to create a new Workspace
Only users with the Company Admin user type can create a new Workspace.
To create a new Workspace, navigate to Settings-> Workspaces and click on New Workspace.
And complete the following fields:
Subject: Workspace Name
Color: Select a theme color
Description: Add Workspace description
Default Workspace: The default Workspace will be the workspace assigned by default to a new user. The default Workspace cannot be deleted.
Share the workspace with others: Choose Workspace owner/s or invite users or teams to collaborate
Please note when sharing your Workspace and inviting team members that:
The Workspace owner will have full configuration capabilities
Each user will have access to the Workspace
Users can copy a record from one Workspace to another Workspace
The Workspace owner can copy a library/library value from one Workspace to another Workspace
