How to Import files to auto-populate different lanes in the Journey Map with Alex AI

Speed up your mapping work by turning raw research, workshop notes, or market analysis into structured, actionable items directly on your Journey Map. Instead of manually adding or copying and pasting information from your documents, you can simply upload a document and let Alex AI do the heavy lifting.

Alex AI scans your file, understands the content and automatically extracts key information, such as Pain points, Gains, Insights, Opportunities, Solutions, or Actions to add in the correct lane and under the appropriate journey map stage. This saves time, reduces manual errors and ensures that important data is captured consistently across your map.

Note: The import process typically takes only a few seconds, but larger or more complex files may take a few minutes to process. Once Alex AI has finished analyzing and classifying your data, you'll see the results appear automatically.

Before you start

  • Open the Journey Map you want to enrich

  • Make sure your stages exist. Alex AI will use them to organize items

  • Have your source file handy. Market analysis, research notes, workshop outputs, or customer docs all work

How to upload a file (any lane)

  1. Open the Journey Map

  2. Go to the lane you want to fill (Pain points, Gains, Findings/Insights, Opportunities, Solutions, or Actions)

  3. Upload your file

  4. Click Import

  5. Review the results and edit where needed

  6. Repeat for other lanes if you want to pull more types of items from the same file

Detailed steps with examples

Pain points

  • Go to the Pain points lane

  • Upload your file and run the import

  • Alex AI extracts pain points it finds and places them under the right stage

  • Open each item to confirm wording, merge duplicates, or delete noise

Gains

  • Open the Gains lane

  • Upload the same file or a different one

  • Alex AI detects gains and assigns them to the relevant stage

  • Adjust phrasing so the language matches your team’s style

Findings / Insights

  • Open Findings / Insights

  • Upload and import

  • Alex lists insights from your file and groups them by stage

  • Use short, clear statements. Add links or references if needed

Opportunities

  • Open Opportunities

  • Upload and import

  • Alex AI scans for opportunities and adds them to the lane by stage

  • Quickly triage: rename, remove, or mark priority

Solutions

  • Upload and import

Reviewing and cleaning up

  • Scan by stage. Check each stage for relevance and duplicates.

  • Tighten wording. Keep items short and specific.

  • Remove noise. Delete anything out of scope.

  • Standardize. Align terms with your internal taxonomy.

Tips for better results when importing data

  • Use clear headings and bullets in your source files. It helps Alex AI detect intent

  • Keep one topic per section in the document when possible

  • Split very large or mixed-topic files into smaller uploads

  • Re-run imports per lane rather than trying to pull everything in one go

  • After import, do a quick “stage-by-stage” pass to confirm placement
