Managing your workspaces and users

How to manage workspace details, user access and roles in Journey Insights Hub.

Workspaces help organize text analysis project and control which users can access different areas of Journey Insights Hub.

All users can view workspace information. Workspace Admins and Organization Admins can also manage workspace settings and user access.

Decide when to use a workspace or create a text analysis project

A workspace is an organizational and access boundary that can contain multiple text analysis projects. A text analysis project is where Journey Insights Hub models and analyzes a specific collection of records.

Use a separate workspace when you need to:

  • Organize text analysis projects for a particular team, department, client, or business unit

  • Give a group of users access to the same collection of projects

  • Keep projects with different access requirements separated

  • Assign different workspace administrators or user roles

Create a new text analysis project within the appropriate workspace when you need to:

  • Analyze a new dataset or business question

  • Keep the concepts, relationships, and metrics separate from another analysis

  • Use different project settings, language, or Science configuration

  • Create an independent analysis for a product, study, reporting period, or audience

You do not need a new workspace for every text analysis project. If the same group of users should have access, create the project in their existing workspace. Similarly, you may not need a new project for every customer segment or reporting period. Keep related records together and use metadata filters when you want to compare groups within the same analysis. Create a separate project when the records need to be modeled independently or support a distinct analytical purpose.

Switch between workspaces

From Settings > Workspace, use Switch your workspace to select the workspace you want to view or manage. If you belong to multiple workspaces, your text analysis project and permissions may differ between them.

Update workspace details

Workspace Admins and Organization Admins can edit the name of the selected workspace. Select Edit, update the workspace name and then select Save.

Manage workspace users

The Workspace page shows the users who currently have access to that workspace.

Admins can select one or more users and choose Edit to update their workspace roles.

Users can also be removed from the workspace when they no longer need access.

Removing a user from a workspace does not remove them from the organization. They may continue to have access to other workspaces.

Delete a workspace

Admins can delete a workspace when it is no longer needed. Select the workspace, choose Delete this workspace, and review the confirmation before continuing.

If you delete your default workspace, Journey Insights Hub will return you to another available workspace.
